Add tasks to a planner
Add tasks, set prerequisites, and attach forms, files, Log-Its and time categories.
Before you start
- A planner open on the Build tab.
Tasks are the heart of a planner. Each one should be a single, clear action someone can finish and record.
- Add a task On the Build tab, add a task and give it a short, action-led name, such as Isolate the power supply or Photograph the finished room.
- Describe it Add instructions or context so anyone can do it without asking.
- Attach what's needed Add the resources for the task (see below).
- Set prerequisites If a task must wait for another, set it as dependent so it can't be completed out of order.
- Choose who can complete it See Control who can complete a task.
- Reorder Arrange tasks in the order the work is done.
What you can attach to a task
| Attachment | What it does in the app |
|---|---|
| Form | The form must be completed before the task can be marked complete. Only forms marked as Planner forms can be attached. |
| Document or file | Reference material, such as a procedure, drawing or manual. |
| Log-It | An existing photo record to show as a reference. |
| Submission | An earlier form submission to show as context. |
| Timeclock category | Lets people tap in and track time against the task. |
| Task record | Asks for a photo as evidence. It can be required. |
Tip
Break long tasks up. Service unit 3 is harder to track than Replace filter, Check belts and Record pressure.
Note
Every planner needs at least one task before it can be assigned.
