How forms work
The life of a form, from first draft to reviewed submission.
A form is a digital version of the paperwork your organization already relies on: sign-in sheets, pre-use equipment checks, intake questionnaires, quality audits, handover notes. People fill them out on a phone, tablet or computer, and the answers are stored centrally so you can review, approve and report on them.
Forms in different industries
- Facilities: a monthly fire-door walkthrough checklist.
- Healthcare: a daily crash-cart readiness check with a signature.
- Manufacturing: a line start-up audit that is scored against a standard.
- Field service: a customer sign-off form with photos of the finished work.
Form types
Every form has a type. The type helps people filter their lists and helps you report on similar work together. It does not change how the form behaves.

The life of a form
- Build An administrator creates the form in the Ranes Portal and adds questions, instructions, media and signatures.
- Publish The draft is published as a revision. Only published forms can be assigned or filled out.
- Assign The form is sent to people, groups, jobs or the whole organization, with optional due dates. Forms can also be offered in the Library with no assignment needed.
- Complete Team members open the form in the Ranes app, answer it, sign if needed, and submit.
- Review Administrators see submissions as they arrive, check scores, and approve or reject them.

Tip
Forms can also be attached to Planner tasks, so a check has to be completed as part of a larger job. See Add tasks to a planner.
